How much does an AI chatbot cost for your business? Real prices in 2026

Published on 3 min read

Asking what a chatbot costs is like asking what a vehicle costs: it depends on whether you need a bicycle or a van. That's why almost nobody publishes prices and most articles answer 'it depends'. We'll do something more useful: split chatbots into three levels, explain what each includes and give you rough ranges so you know the order of magnitude.

A note before we start: the ranges are a guide for SME projects in Ireland and Spain in 2026. Your case can fall outside them because of special integrations, volume or requirements in your sector.

Level 1: rule-based chatbot (from a few hundred euros)

A rule-based chatbot doesn't understand language: it shows buttons ('Prices', 'Opening hours', 'Talk to a person') with pre-written answers. It's an interactive menu, and that's not a bad thing: for capturing a lead out of hours or answering the five questions everyone asks, it works surprisingly well.

The cost goes from almost nothing (visual widget builders have free plans or plans of a few tens of euros a month) to a few hundred euros if someone sets it up properly, with well-designed flows and connected to your email. Its limit is obvious: any question that isn't in the script goes unanswered, and the conversation feels robotic.

When it's enough: you get few enquiries a day, almost all the same, and you just need to stop losing the person who writes on a Sunday night.

Level 2: conversational AI chatbot (roughly €1,500 – €5,000)

Here the chatbot uses a language model (the same technology behind ChatGPT) loaded with your business information: services, prices, opening hours, policies. It understands questions even when they're badly written, replies naturally in several languages and knows how to say 'I don't know that, I'll pass you to the team' instead of making up an answer, which is the most important part and the one cheap projects get wrong.

Project cost usually sits between €1,500 and €5,000 depending on how much information needs structuring and how much the behaviour is fine-tuned, plus a small monthly cost for using the AI model (typically tens of euros, not hundreds, at SME volumes).

When it pays off: repetitive questions eat hours every week, you serve customers in more than one language, or the person asking at 10pm goes to a competitor when nobody answers.

Level 3: assistant connected to your systems (from €5,000)

The big jump isn't the conversation, it's the action. A level 3 assistant doesn't just answer: it checks your real availability and books the appointment, logs the contact in your CRM with a summary of the conversation, checks an order's status or routes the lead to the right salesperson with the context already collected. Technically it's an integration project: the chatbot is the visible face of a system that connects calendar, CRM and WhatsApp.

That's why prices start around €5,000 and rise with the number of systems to connect. It's always quoted case by case, and the right question isn't 'how much does it cost?' but 'how many hours of manual work does it remove and how many more customers does it convert?'. An assistant that books appointments only at night and at weekends can pay for itself in a few months from the bookings you currently lose.

How to decide without getting it wrong

Our advice is not to start with the budget but with two of your own numbers: how many repetitive enquiries you get per month and what a new customer is worth. With low volume and simple questions, a well-built level 1 is enough and spending more would be wasted money. With high volume or a complex sale, level 2 or 3 pays back quickly; you can estimate it yourself with our savings calculator.

And one tip whoever you work with: insist that the chatbot always has a clear way out to a human, and that you get the conversation logs (they're gold for learning what your market asks for). If you want us to look at your case, the audit is free and we'll tell you which level you really need, even if it's the cheap one.
