How to reduce missed appointments in your business

In clinics, physiotherapy, beauty salons, academies or workshops, an appointment nobody turns up to is the quietest loss in the business: the professional was available, the slot cannot be resold, and it is almost never measured. If you do not know how many appointments were missed last month, start by counting them. Then, these are the measures that work.

Why people do not turn up

It is rarely bad faith. Most no-shows are simply forgotten appointments, bookings made weeks in advance, or changes of plan the customer does not bother to mention because it means phoning during office hours.

That is good news: all three causes can be fixed with a system, not with telling-offs or chasing anyone.

Remind people where they actually read

An email reminder gets lost among promotions. A WhatsApp message is read within minutes. What works best in practice is a reminder 24 hours ahead and, for appointments booked far in advance, another nudge a few days before.

The reminder must let people reply: “Confirmed” or “I need to change it”. If changing an appointment means calling, many people simply will not come — and you will find out when the slot is already lost.

Active confirmation and a waiting list

Asking customers to confirm turns a passive reminder into a commitment. It also gives you information: if someone does not confirm, you can call them or release the slot in good time.

A released slot is worth far more if you have someone to offer it to. A simple waiting list — customers who wanted an earlier time — lets you fill last-minute cancellations instead of losing them.

Clear rules, applied every time

A cancellation policy works when it is communicated at booking and applied without arbitrary exceptions. For expensive services, a small deposit at booking reduces no-shows significantly: people who have paid something upfront turn up.

And measure it: no-shows per month, per service and per staff member. After two months of data you will know which measure is working and where to focus.
